Instructions for managing inventory and using inventory features.

Using the inventory

Adding a new product

You can add a new product to the inventory by clicking the “New product” button.

The following information is required for each new product: product name, price, quantity, and purchase price. You can also scan the product’s barcode with a barcode reader and optionally add a custom unit (e.g., liter). The default VAT rate is based on the salon’s settings but can be changed from the dropdown menu.

If you want to track the product’s stock level, enable “Track inventory”.
Don’t forget to save your changes!

Removing a product

To remove a product, click the three dots next to the product and select “Delete product”.


Editing purchase price and scheduling for future batch of products

To change a product’s purchase price, you can edit it directly from the product’s previous import batch. This way, the new purchase price will apply to future batches. You can also schedule a new purchase price for a future date.

Editing purchase price in inventory history:

  1. Open the product’s inventory history by clicking the arrow to the left of the product.

  2. Click the three dots next to the desired batch → “Edit batch”

3. Enter the correct purchase price and click “Edit”

Scheduling purchase prices

If you wish, you can enter product purchase prices in advance into the system, for example in a situation where a distributor increases product prices and the new prices take effect on a specific date. In this case, you can schedule the new purchase prices in the system ahead of time.

You can enable this feature via:
Settings → Point of Sale settings. Then scroll down to "Inventory settings" → Enable advanced purchase price management

  1. Click the “Add new purchase price” button from the “Set default purchase price (optional)” section.

  2. Enter the new purchase price and select the date from which the price will be effective.

  3. Optionally, you can add additional notes for employees.

  4. By clicking the arrow, you can view past and upcoming changes related to purchase prices.




Multiple separate inventories

The booksalon system supports the use of multiple separate inventories.
Inventories can be personal, such as those owned by the salon owner and an entrepreneur, or they can be used to separate retail products for sale from backroom storage.

How to allow multiple inventories:

  1. Go to Settings

  2. Click Point of Sale settings

3. Enable “Enable multiple inventories”

4. Press Save


Creating a new inventory

You can create a new inventory by clicking “New Inventory”.

You must name the inventory and select which company it belongs to.
The dropdown list will display companies of both the owner and entrepreneurs.
Click “Add Inventory” after entering the information.

The new inventory will appear at the top of the inventory management view.


Managing inventories

You can search for products across all inventories, or alternatively, select a specific inventory from the top of the inventory view. Select the desired inventory by clicking its name.

Each inventory has a three-dot icon, which allows you to edit or delete that inventory.

You can also search for a product using the search field, by product name, EAN code, or SKU.


Manage user's default inventory

You can assign a default inventory to each user for the POS. That inventory will be shown as default for the user when selling products. This is especially useful if the user has their own inventory and primarily sells from it.


Transferring products between inventories

Here’s how to transfer products between inventories:

1. Click the three dots next to the product

2. Click "Move product"

3. From the dropdown menu, choose an action:

  • Transfer stock quantity

    • Transfers a selected quantity of the product to the target inventory

    • If the product does not exist in the target inventory, a product card will be created

    • The product card and remaining quantity stay in the original inventory.

  • Transfer product data and stock

    • Transfers both the product data and the entire stock, including history, to the target inventory

    • The product will be removed from the original inventory

    • If the product already exists in the target inventory, the two will be merged

  • Copy product data

    • Copies the product card to the target inventory, but does not transfer stock quantity or history.

4. Select the product quantity

5. Choose the target inventory

6. Click “Move data”


Product tags

You can create tags for products, which help you search, inventory, or manage the inventory more efficiently.

You can create tags based on product brands, accessories, retail products, or similar categories.

Tags are also visible at the POS.

How to create a tag?

Click the three dots to the right of a product → Edit product. In the “Tags” field, type a new tag if it doesn’t already exist. The field also suggests existing tags as you type.

Once created, the tag becomes active for the product and can be found from the inventory homepage under “Filter by tags.”

You can use this filter button to show products by tag and download reports accordingly.

If multiple tags are selected:

  • “Any of them” shows all products that have at least one of the selected tags.

  • “All” shows only products that have all the selected tags.

You can also easily view inventory values based on product tags.


Scheduling the purchase price list

If you wish, you can input upcoming product purchase prices in advance. For example, if a distributor raises product prices and the new prices take effect on a specific date. In this case, you can schedule the new purchase prices in the system beforehand.

You can enable this feature via:

Settings → Point of Sale settings. Then scroll down to "Inventory settings" → Enable advanced purchase price management

How to schedule purchase price

Click a product in the inventory to set a default purchase price for the future.

Steps:

  1. Click the product in inventory

  2. Click "Add new purchase price"

  3. Fill in the purchase price, time, and date

  4. Optionally, add a note for the employee.


Scheduled changes can be found by clicking the arrow next to the product.


Downloading inventory reports

You can download the inventory report by clicking the “Download Report” button.
By clicking the three dots, you can select additional types of reports.
