1. Booksalon pricing and packages — which one is right for me?
How much does booksalon cost? Booksalon has three packages: BASIC €20/month per user, PRO €39/month per salon (unlimited users), and PREMIUM €149/month per salon (unlimited users). Prices are excluding VAT. The BASIC package comes with a 100-day free trial.
What's the difference between BASIC, PRO, and PREMIUM? The BASIC package includes online booking, a client register, and a Book Now button for Facebook and Instagram. PRO adds a point of sale, payment terminal, gift card store, inventory management, payment links, prepayments, SMS reminders, a Google booking button, multi-merchant support, and fast settlements. PREMIUM includes everything in PRO plus a Premium A1 payment terminal, lower payment processing fees, your own logo on the terminal, free SMS reminders, and banking services for all salon entrepreneurs. The email marketing tool is also free.
Is there a commission on card payments? Yes. A commission is charged on card payment processing, and the rate depends on your package. The PREMIUM package has a lower commission.
Is the mobile app an extra cost? No. The booksalon app is free for all packages and works on both iPhone and Android.
Can I pause my subscription? Contact our support via chat and we'll look into your situation. Your contract terms and notice period can be found in your agreement.
2. Payment terminal — everything you need to know before getting started
Is the payment terminal included in the price? Yes, PRO and PREMIUM packages include a payment terminal. With PREMIUM, you can add your own logo to the terminal screen. The terminal is included in the package, so you don't need a separate agreement with a payment terminal provider.
How is the payment terminal delivered and set up? The terminal is shipped to you by post once your PRO or PREMIUM subscription is activated and your merchant survey has been completed and approved. Setup is simple: turn the terminal on, wait for it to connect, and it's ready to use with the point of sale once the booksalon logo appears on the screen.
Can I take card payments with my phone? Yes. With booksalon's Tap-to-Pay feature, you can accept card payments directly on your phone — both iPhone and Android. So you don't necessarily need a separate physical terminal.
Do I have to use the payment terminal? Yes, using the payment terminal is a mandatory part of PRO and PREMIUM subscriptions, so every user at the location must use the booksalon payment terminal.
Other PRO features — such as booking, point of sale, and gift cards — work normally as part of the same package. The terminal also makes daily operations easier, as card payments are automatically recorded in the point of sale and reports.
Which cards does the payment terminal accept? The booksalon payment terminal accepts the most common cards: Visa, Mastercard, and Finnish bank cards.
3. Booksalon for entrepreneurs — how it works
How is an entrepreneur added to booksalon? The salon's main admin invites the entrepreneur into the system. The entrepreneur gets their own profile, calendar, and service list. Adding them is free within the PRO or PREMIUM package — the number of users is unlimited.
Do the entrepreneurs's payments go to their own account? Yes. Each entrepreneur completes their own merchant survey and provides their own bank account details. Card payment settlements go directly to the entrepreneur's own account.
Does an entrepreneur need their own PRO subscription? Not if the salon's main admin has PRO or PREMIUM — the entrepreneur can use the salon's subscription features. If an entrepreneur only wants their own booking calendar (without the point of sale and payment terminal), they can use their own BASIC package.
How do I move to a different salon as an entrepreneur? Contact support via chat and we'll help transfer you to the new location.
Why is identity verification required from entrepreneurs? Booksalon is a registered payment institution, and regulations require that every entrepreneur receiving payments be identified. This protects both you and your clients.
4. Settlements, reports, and accounting — staying on top of your finances
When will the money arrive in my account? Card payments are automatically settled to your bank account. Normal settlement time is a few business days. With the Instant Settlement™ feature, you can receive funds faster. If you have booksalon's banking services, settlements are even quicker.
What reports do I need for my accountant? From booksalon, you can provide your accountant with a sales report, settlement report, gift card usage report, cash management report, and commission report. All of these are available directly from the system and can be sent to your accountant as-is. You can also conveniently invite your accountant into the system to view the reports themselves. Are booksalon's reports sufficient for tax purposes? Yes. Booksalon's reports are designed to meet Finnish accounting requirements. They include the necessary sales, settlement, and commission data.
Can a customer pay in two instalments? Yes. You can split the payment so that the customer pays part in cash at the point of sale and the rest via a payment link or card.
5. Merchant survey and identity verification — why and how?
Why do I need to create a separate merchant account?
A merchant account enables you to accept payments via the card terminal and payment links. Since booksalon is a registered payment institution, regulations require every business to be identified before payments can be processed.
You can also optionally open a business account with us, which gives you access to:
An IBAN account
A Mastercard debit card
How is identity verification done? Verification is done electronically as part of the onboarding process. You'll need to fill in your business details and confirm your identity. The process is quick and secure.
How long does it take to open a merchant account? Details are usually confirmed quickly once you complete the merchant survey and verify your identity. In some cases, additional information may be required, but our support team will guide you through the entire process.
6. Booking basics
How do I share my booking link with clients? Once your location is created, you'll have your own booking link. You can share it directly via WhatsApp, email, or social media. You can also embed the Book Now button on Facebook, Instagram, and Google Maps.
Can I manage bookings for multiple locations? Yes. With booksalon, you can manage multiple locations under the same account, each with its own booking calendar and staff members.
How do I set cancellation terms? Cancellation terms can be found in your location settings. You can define how far in advance clients can cancel, and whether you want to charge a no-show or cancellation fee.
Is booksalon suitable for industries other than beauty? Yes. Booksalon is used by massage therapists, podiatrists, physiotherapists, personal trainers, tattoo artists, and more. It's suitable for any appointment-based service business.
7. Gift cards in booksalon — sales, management, and tips
How does gift card sales work? With PRO and PREMIUM packages, you get access to a gift card store. Your clients can purchase gift cards online, and you can also sell them at the point of sale. Gift cards can also be sent electronically to the buyer on a scheduled date.
Can I add my own image to gift cards? Yes. You can add your own logo to the gift card store, making it look more professional and consistent with your brand.
How is a gift card redeemed? The customer shows the gift card code at the point of sale, and it's recorded as a payment method. The system tracks gift card balances automatically.
Can I hide the gift card store from the booking page? Yes. You can manage the visibility of the gift card store in the settings, and disable it from your booking page if needed.
8. Website at booksalon — do you still need a separate service?
Can I build the website myself? Yes. Booksalon's website builder requires no technical skills. You choose a template, add images and text, and the site is ready. Services and prices update automatically on the website whenever you change them in the system. Read more here.
Can I use my own domain for the website? Yes. You can connect your own domain (e.g. yoursalon.fi) to your booksalon website. Contact our support for help with domain-related matters.
Is the website builder an extra cost? Yes. The website builder is available to all booksalon users. Ask support for more information.
9. Contract, commitment, and cancellation
Is there a minimum commitment? The BASIC package comes with a 100-day free trial and no commitment. For PRO and PREMIUM packages, the contract terms and any minimum period are agreed upon when the contract is signed.
How do I cancel? Cancellation is done officially by contacting support via chat or by email at support@booksalon.fi. You'll always receive a separate confirmation of the cancellation along with instructions for returning the payment terminal.
What is the notice period? The notice period depends on your contract. The exact period can be found in your contract terms. Our support team will tell you the exact end date.
Can I reverse a cancellation? Yes. Contact support as soon as possible and we'll look into the situation.
10. Marketing in booksalon — email and SMS
Can I send marketing messages to clients from booksalon? Yes. Booksalon has a marketing tool that lets you send campaign messages directly from your client register via email and SMS.
Is the marketing tool included in the PRO and PREMIUM packages?
The marketing tool is included in both PRO and PREMIUM.
Free email marketing messages are included in the PREMIUM package.
How can my client unsubscribe from marketing messages? Every marketing message includes a link where the client can manage their marketing consent. This is a GDPR requirement, and booksalon handles it automatically.
What other marketing options does booksalon offer?
Booksalon's marketplace gives businesses and service providers visibility. The social media Book Now buttons, Google "Reserve with Google" integration, Spotlights™ introduction videos on the marketplace, and client reviews all help you stand out from the competition.
The gift card store is also an effective marketing tool, especially around holidays.
